Arts Bulk Email Messaging Facility
The Bulk Email Messaging Facility is to be use for all email distributions that will go out to 100 students or more (you can use this method for a smaller number of students if you want to). To use this facility you need to log-in to the bulk email request application via the form (to the right). Please make sure you are familiar with the policies regarding the use of this facility before logging in.
Bulk email must conform with the Student Electronic Message Broadcast Policy, as determined by the University Information Technology Policy Committee (UNITPOL).
Email is not sent automatically by this facility. It is sent for vetting and then sent to the central bulk email service. Every effort is made to have emails sent out within 5 working days of the request being received. Please plan ahead as bulk emails to students can not be sent on the same day that you make the request.
When filling out your bulk e-mail request you should select an appropriate Email Topic based on the table below. Email topics are prefixed to the Subject line of your message to help students differentiate between an ever increasing amount of email. Please note that some e-mail topics are reserved for use by specific administrative units.
| Topic | Information about | Used by |
|---|---|---|
| Enrolment Update | Enrolment / Re-enrolment / Course Progression / Course Completion / Graduation | Faculty |
| Event | Seminar / Orientation / Lecture / Concert | Faculty / Schools |
| Feedback Request | Surveys / Focus groups / Quality assurance processes | Faculty / Schools |
| Information | TaSP (Transition and Student Progress) / Study Tours / Study Abroad | Faculty / Schools |

Due to technical constraints bulk emails can only be sent in plain text and without any attachments. This means that your email can not contain any formatting or html code (bold, italic, font colours, etc) including hyperlinks (hyperlinks should be written out in full e.g. http://www.monash.edu.au/).
Please note that messages will not be spell/grammar/common-sense checked prior to sending them. Please double-check email accuracy prior to submitting your request.
You should identify the groups of students you wish to send email to using one of the following criteria:
| Criteria Type | Details |
|---|---|
| ID lists | You can either type them in manually, or copy a column from a spreadsheet and paste the column into the field |
| Unit Details | Based on Unit Code, Semester, and Campus |
| Course Details | Can be any combination of Course Code and Campus. If the email includes students from another Faculty, permission must be obtain from that faculty before the email will be sent. |
